A single phase UPS should have a full preventative maintenance service at least once a year, with battery impedance testing every six to twelve months in critical environments. Batteries are the component that fails first: valve regulated lead acid strings last three to five years, less in Queensland heat, and impedance rises well before the front panel reports a fault.

The core problem
The front panelis not a test
Almost every failed UPS we are called to was showing a healthy status light the week before. That is not a fault in the unit. It is that a UPS reports the state of its charger, not the state of its batteries, and a battery can hold a perfectly normal float voltage while having lost most of its ability to deliver current.
The measurement that actually predicts failure is internal impedance. As a valve regulated lead acid cell ages, its internal resistance climbs long before its terminal voltage sags. Impedance testing catches that trend while there is still time to plan a replacement, rather than discovering it during an outage when the load transfers and the string collapses in under a minute.
The second thing a scheduled visit catches is everything that is not the battery: cooling fans that have slowed or seized, electrolytic capacitors drying out, firmware that is several revisions behind, and monitoring cards configured to alert an address nobody reads any more. None of these announce themselves. All of them are cheap to fix on a planned visit and expensive to discover during a failure.

A scheduled single phase inspection in Brisbane. Most of the value of a visit like this is in the measurements that get written down, not in anything visibly replaced on the day. The report is what tells you when the batteries are due, which is the difference between a planned swap and an outage.
Queensland sites are the ones we watch hardest. Every 10 degrees Celsius of sustained ambient above 25 roughly halves valve regulated lead acid life, so a comms room running warm turns a five year battery into a two and a half year battery with no warning on the display.

The thing nobody plans for
Servicing withoutdropping the load
The most common reason UPS maintenance gets deferred is not cost. It is that nobody can face taking the room down to do it. If there is no way to feed the load while the UPS is isolated, then every battery change, capacitor replacement and firmware update requires an outage, and outages get postponed until something breaks.
A maintenance bypass, sometimes called a wrap-around bypass, is external switchgear that feeds the load directly from mains while the UPS is completely isolated and safe to work on. It is not the same thing as the internal static bypass built into the unit. The static bypass keeps the UPS energised and is there to protect the load during an internal fault; it cannot be used to work on the unit safely.
On single phase systems this is often a small wall mounted panel, and it is inexpensive compared with the cost of the outages it prevents. Retrofitting one later costs more, because the switchboard work has to be done around a live load, which is exactly the situation you were trying to avoid.

System diagnostics and fault log review
Existing alarms and the historical fault log read off the unit before anything is touched. Intermittent faults that cleared themselves are the most useful thing in the log, because they are usually the first symptom of something that has not finished failing yet.
Electrical input verification
Mains voltage, frequency and supply quality at the unit. Where the supply is unstable the UPS transfers to battery far more often than anyone realises, which quietly consumes battery cycles and shortens the string's life.
Electrical output verification
Output voltage, waveform quality and actual load level. Load creep is common: equipment gets added over the years until the UPS sits well above the 80 per cent mark, at which point its rated runtime no longer applies.
Battery voltage testing
Cell level voltage measured individually rather than as a string total. A single weak cell drags the whole string, and a string reading normal overall can still contain one block that will fail under load.
Battery impedance testing
Internal resistance measured and trended against previous visits. This is the measurement that predicts failure rather than reporting it, and it is the single most valuable thing in the service.
Visual battery inspection
Swelling, terminal corrosion, electrolyte leakage and case distortion. A swollen block is a safety issue as well as a performance one, and in an enclosed cabinet it is the sign to act immediately rather than at the next visit.
Internal component inspection
Capacitor condition, fan operation and airflow through the unit. Cooling fans are consumables. A UPS running hot because its fan has slowed will age both its capacitors and its batteries faster, and the unit will not tell you.
Firmware and configuration review
Firmware revision checked against current, and settings reviewed against how the site actually operates. Misconfigured transfer thresholds and shutdown delays are surprisingly common and cost nothing to correct.
Alarm and monitoring verification
Network management card status and alert configuration tested by forcing the condition, not by assuming. An alarm routed to a mailbox belonging to someone who left two years ago is the same as no alarm at all.
Written service report
Full findings, the measured values, recommendations, and a battery replacement forecast with an expected date. This is what makes the next budget cycle a decision rather than a surprise.

Any one of these is worth a call. Two or more together usually means the batteries are near the end.
- Reduced battery runtime during a test or a real outage
- Alarm indicators or fault warnings, including intermittent ones that clear themselves
- Increased fan noise, or the unit running noticeably hotter than it used to
- Inconsistent output voltage readings
- Unexpected shutdowns, or transfers to bypass with no obvious cause
- Batteries at or past three years of age in Queensland or any high temperature environment
- Nobody at the site knows when it was last serviced, or what its runtime is

How often should a single phase UPS be serviced?

Visual inspection every six months is worth doing everywhere because it is quick and catches swollen blocks, corrosion and blocked ventilation. Sites in Queensland, the Northern Territory and northern Western Australia should treat the six month battery interval as the default rather than the exception, because sustained heat is the main driver of early battery failure.
What does UPS maintenance actually include?
Our single phase service is a ten step sequence: fault log review, electrical input verification, electrical output verification, cell level battery voltage testing, battery impedance testing, visual battery inspection, internal component inspection covering capacitors and fans, firmware and configuration review, alarm and monitoring verification, and a written service report with a battery replacement forecast. The impedance test is the most valuable part, because it predicts failure rather than reporting it after the fact.
How long do single phase UPS batteries last?
Three to five years for standard valve regulated lead acid batteries in a temperature controlled room. Lithium ion strings typically run eight to ten years. The single biggest factor is ambient temperature: battery ageing roughly doubles in rate for every 10 degrees Celsius above 25, so a comms room sitting at 35 degrees will get around half the rated life. This is why battery age alone is a poor guide and impedance trending is a much better one.
How much does single phase UPS maintenance cost in Australia?

Can you service a UPS without shutting down the load?
Where a maintenance bypass exists, yes. A maintenance bypass is external switchgear that feeds the load directly from mains while the UPS is fully isolated and safe to work on. It is not the same as the internal static bypass, which keeps the unit energised and cannot be used to work on it safely. Where no bypass exists we either schedule a brief transfer out of hours or quote a bypass panel so future visits need no interruption. On single phase systems the panel is usually small and inexpensive relative to the outages it prevents.

What is the difference between battery voltage and impedance testing?
Voltage tells you the present state of charge. Impedance tells you the battery's ability to actually deliver current under load, which is what matters during an outage. A cell can hold a completely normal float voltage while its internal resistance has climbed to the point where it will collapse within a minute of the load transferring. Impedance rises gradually and measurably over years, so trending it across visits gives you an honest replacement date instead of a guess based on age.
